In just over two months, the team had its first version of software running, then released a customer-ready version as MVP (Minimum Viable Product).

Steve Irons comments: “I am proud of how our company pivoted during tough times to create and focus on the new, long term needs of our law firm partners. DocSolid’s team to completely changed our business focus to create an impact solution supporting a law firm’s hybrid work model.”

The companion solution, Airmail2 Digital Records Room, is a firm-wide system of software and workflow  to digitize paper records to iManage. Airmail2 Digital Records Room replaces paper file rooms to facilitate real estate reduction plans and enables efficient digital delivery of file requests for attorneys working from home.

“Today, the Airmail2 Suite is DocSolid’s comprehensive solution to help firms securely, reliably and efficiently deliver legal documents to a distributed workforce and to socially distanced in-house teams,” said Steve Irons.  “Together, Digital Mailroom and Digital Records Room drive matter governance and eliminate the cost and risk of paper records. Airmail2 Digital Mailroom and Digital Records Room Now Compatible with Work 10 Cloud Systems

PHOENIX, AZ – (September 21, 2021) – DocSolid, the legal technology experts for enterprise scanning, workflow and paper reduction solutions, today announces the Airmail2 Suite, including the Digital Mailroom and Digital Records Room solutions, has achieved certification under the iManage Universal API, enabling compatibility with iManage Work 10 Cloud. DocSolid is among the first of the hundreds of iManage technology partners to have achieved the Universal API certification across its entire product line.

Airmail2 Digital Mailroom was engineered from the ground up to solve the critical problem of digital daily mail delivery in hybrid law firm operations. This forward-thinking, best of breed solution provides direct delivery of scanned postal mail to firms’ iManage document management system (DMS), where sensitive information can be properly secured, governed and processed within the existing iManage facilities. This approach overcomes the unsecure and unproductive methods of scan to email attachments.

Airmail2 Digital Records Room replaces paper file rooms to facilitate real estate reduction plans and enables efficient digital delivery of file requests for attorneys working from home.

Airmail2 Digital Mailroom and Digital Records Room are tightly integrated with iManage DMS, yet operators do not have iManage logins or direct access. Airmail2 software front ends iManage, providing browser-based applications for mail and records workflows, while performing the integrated DMS connections for mail and records processing using server-side APIs.

Airmail2 solutions were built for the new hybrid law firm workforce, designed specifically for these new security, governance and productivity requirements:

  1. Certified DMS integrations for iManage, adaptable to specialized client configurations
  2. DMS mapping so that operators can perform profiling without having a DMS login
  3. RMS integrations to extract data from existing bar codes on physical matter files for inventory and profiling
  4. Quality controls for comprehensive QC workflows to ensure confident shredding and disposition
  5. Administrative and monitoring tools – help desk, dashboard, audits, reporting
  6. Stable deployment – enterprise-class server and security regimes, Web-based clients, mature DMS integrations and universal scan device support

“DocSolid’s Airmail2 is a timely technology that meets our evolving requirements and best practices for a digital mailroom and digital records room,” said Jason Landers CIO at Drew Eckl & Farnham. “Digital transformation is key to our business objectives now and moving forward, and we are satisfied that the Airmail2 Suite productively moves paper into our digital processes and disciplines so that we can leverage our investment in iManage.”

“The Airmail2 Suite is DocSolid’s comprehensive solution to help firms securely, reliably and efficiently deliver legal documents to a distributed workforce and to socially distanced in-house teams,” said Steve Irons, President of DocSolid. “Digitizing paper records has a new, clarified ROI – real estate reduction. Together, Digital Mailroom and Digital Records Room drive matter governance from iManage and eliminate the cost and risk of paper records. In these times Airmail2 lights up a digital transformation for iManage users.”

“With the vast adoption of remote working, a connected digital experience has taken on even greater importance to help legal organizations and other professional services firms securely manage the fluidity, efficiency and outcomes of their processes,” said Dean Leung, Chief Customer Officer, iManage. Airmail2 from DocSolid drives firms in their digital transformation by systematically digitizing the paper of daily mail and matter files, allowing firms to tap into workflow, search, security and anytime, anywhere access enabled by their iManage DMS.”

DocSolid Announces General Availability of Airmail2 Digital Records Room

Successful Rollouts Across Early Adoption Firms in AM Law 200

PHOENIX, AZ – (September 8, 2021) – DocSolid, the legal technology experts for enterprise scanning, workflow and paper reduction solutions, announces general availability of Airmail2 Digital Records Room after successful implementation and roll outs in key Am Law 200 early adoption program firms.

Airmail2 Digital Records Room is a firm-wide system of software, workflow and firm services to digitize paper records to the DMS (including iManage or NetDocuments). A best-of-breed solution, Airmail2 Digital Records Room replaces paper file rooms, enables real estate compression and delivery of file requests for attorneys working from home to ultimately stop the flow of paper records to offsite storage.

The legal sector is predicted to downsize its real estate needs on average 10% to 30% according to Cushman and Wakefield, a tremendous savings opportunity for firms’ second largest overhead expense (roughly 6-8% of gross revenue). Law firms need a digital records room to eliminate the costly footprint required for paper file storage rooms to optimize this opportunity for real estate reduction.

Interdependent with real estate reduction is the permanent and active trend of enabling a hybrid workforce workflow. The vast majority (76%) of attorneys prefer the continuance of work from home, and the Cushman and Wakefield Bright Insights 2021 report confirms a majority of firms will have staff working remotely for a minimum of two days a week, with most firms (76%) incorporating aspects of hoteling for a population of their attorneys.

A hybrid workforce of in-house and at-home attorneys cannot be supported securely or efficiently when records room workflows are paper-based. Clients expect their law firms to be productive and secure, but attorneys cannot be productive when file requests can take hours or days.  Attorneys using paper files in their home offices simply isn’t a sustainable practice.

Airmail2 Digital Records Room runs bulk backfile conversion projects and provides a day-forward operation for keeping file rooms digital. While file rooms and offsite storage are being eliminated, Airmail2 services file requests for in-home and in-office workers by scanning to the DMS, then sending smart notifications of delivery in minutes.

Airmail2 is designed specifically for the records room scan capture requirements in a law firm, with focus on productivity, flexibility and process integrity that includes:

  1. Certified DMS integrations for iManage and NetDocuments, adaptable to specialized client configurations
  2. DMS mapping so that operators can perform profiling without having a DMS login
  3. RMS integrations to employ existing bar codes on matter files for inventory and profiling
  4. Quality controls for comprehensive QC workflows to ensure confident shredding and disposition
  5. Administrative and monitoring tools – help desk, dashboard, audits, reporting
  6. Stable deployment – enterprise-class server and security regimes, Web-based clients, mature DMS integrations and universal scan device support

Airmail2 Digital Mailroom, the companion solution for secure, digital delivery of daily mail to keep employees productive wherever they work, was released Q4 2020.

“Digitizing paper records has a new, clarified ROI – real estate reduction,” said Steve Irons, President of DocSolid. “Airmail2 Digital Records Room optimizes a backfile scanning project to digitize existing paper files and lets a firm service home workers with digital file deliveries through the DMS. Law firm planners can now include reduction of the paper footprint as part of the real estate strategy.”

DocSolid White Paper “Law Offices Get Smaller, Records Rooms Get Digital”

2021-07-14T06:53:08-07:00July 14th, 2021|Press Releases|

DocSolid White Paper “Law Offices Get Smaller, Records Rooms Get Digital”

PHOENIX, AZ – (July 14, 2021) – DocSolid, the legal technology experts for enterprise scanning, workflow and paper reduction solutions, announces the white paper, “Law Offices Get Smaller, Records Rooms Get Digital,” is now available.  Law firms are facing a tremendous opportunity to reduce real estate, but paper-based records rooms are an obstacle to this.  DocSolid’s VP of Customer Success, David Guilbault, helps law firms understand how to eliminate their paper-based records rooms in this free, white paper available here.

Real estate is the second biggest expense for a law firm. As firms strategize real estate compression plans, eliminating floor space required for records rooms and ad hoc paper file storage is key. Not only that, but the new hybrid workforce of in-house and at-home attorneys cannot be supported securely or efficiently when records room workflows are paper-based.

The DocSolid white paper, “Law Offices Get Smaller, Records Rooms Get Digital” outlines a digital records room strategy and implementation plan. A digital records room is a firm-wide system of software, workflow and services, to digitize paper records to the DMS (including iManage or NetDocuments), replacing paper file rooms.

Jamie Blomquist, CIO at Maslon, comments: “There are essentially three use cases for transitioning to a Digital Records Room: reduce costs by reducing the footprint of paper so we can optimize our office space for higher value work; improve productivity and help attorneys have anywhere access to their files; and lastly, driving our paper files into one centralized DMS file helps us govern and reduce risk better.”

The white paper includes insights from information governance and records professionals and details IG and security requirements for a best practice digital records room such as:

  1. Tight DMS / RMS integration with leading industry platforms such as iManage, NetDocuments and FileTrail
  2. Vendor DMS expertise and solution flexibility so that a firm’s DMS customizations can be accommodated
  3. In-house and outsourced staff empowered with DMS profiling-scanning capability without DMS logins
  4. Enterprise software that matches a firm’s security regime
  5. Avoidance of scan-to-email attachments or new operating repositories
  6. Built-in auditing of the overall capture process, down to the document level
  7. Paper document disposition-retention-shredding built into the process
  8. Ability to segregate processes for confidential content e.g., HR documents

“Information governance professionals have long advocated for electronic records. Previously this was driven by the governance and security of sensitive client information. Now, the business case of real estate reduction has transformed this desire into a necessity. We are thrilled to provide the technology enabling this vital operation and helping our customers achieve success,” adds David Guilbault, VP of Customer Success at DocSolid.

Sterne Kessler Adopts DocSolid® Airmail2® Suite: Digital Mailroom and Digital Records Room for iManage Work 10

PHOENIX, AZ – (February 3, 2021) – DocSolid, the legal technology experts for enterprise scanning, workflow and paper reduction solutions, announces NLJ 500 firm, Sterne Kessler Goldstein & Fox has implemented the Airmail2 Digital Mailroom and companion Digital Records Room for direct delivery of daily mail and matter files to the firm’s document management system, iManage Work 10.

Productivity for both home and in-office workers is a high priority as firms transition from the unexpected challenges of 2020 to the “Normal Now” of 2021. Paper-free workflows and real estate compression strategies are central to this; however, neither remote work nor real estate compression can be achieved without the digital transformation of mailroom and Records Room processes.

DocSolid’s Airmail2 Digital Mail + Records Suite transforms a firm’s paper-based mailroom and Records Room functions into streamlined, digital operations supporting work-from-home and return-to-office strategies. The Airmail2 Suite provides scanned delivery of sensitive and time-dependent mail and file requests via the document management system (DMS), enabling firms to govern, secure, and distribute information efficiently, per policy and individual client guidelines.

“We have re-vamped our scan capture solution set with DocSolid and Airmail2,” said Shawn Mitkowski, CIO at Stern Kessler. “The operational productivity, tight iManage integration, and innovative roadmap of the Airmail2 system drives our firm’s digital transformation.”

“To be efficient, secure and always-on for our clients, Sterne Kessler needs attorneys work-ready at home or back in the office,” said Robert Burger, COO at Stern Kessler. “That means we need to be digital. DocSolid’s new Airmail2 solutions are built for these times, to move paper into our digital processes and disciplines.”

“Sterne Kessler already had sharpened digital ambitions,” said Steve Irons, President of DocSolid. “With our new Airmail2 Suite, they now operate a Digital Mailroom and a Digital Records Room, cranked up in productivity, security and process quality. We’re honored to take the field with them.”

The Airmail2 Digital Mailroom enables clerical operators with minimal training and without login access to the DMS to scan, QC, and directly deliver postal mail in electronic form to the firm’s DMS of choice.

The Airmail2 Digital Records Room builds a digitization project to convert paper records for storage in the document management system, so that firms can downsize their office real estate footprint, and deliver requested files digitally for home workers.

Both systems provide:

    • Scanned mail and file integration with iManage and other DMS systems
    • Mapped mail and file delivery to recipients and proxies with custom notifications
    • DMS matter integration for search, profiling and storage, but operators don’t have DMS logins
    • Built-in quality controls to ensure confident shredding
    • Batch workflows for productive and flexible alignment with staffing resources
    • Simple deployment with Web-based clients, pre-built DMS integrations and universal scan device support
